How I’m Actually Using AI as an Online Business Manager
Lately, conversations about AI have been everywhere for me.
Podcasts, articles popping up, all over social media and I’ve chatted about it with so many clients.
And from tips on writing better prompts to bold predictions about where we’ll be five years from now, the advice is all over the place.
I get it. It’s exciting. And I’m also feeling a little overwhelmed and intimidated by it all. Basically all of the feelings.
So I’ve been sitting with it and I wanted to bring you into the internal dialogue and share how I’m actually using AI in my own business and behind the scenes with the clients I support.
Just in case you’re new around here (hi! 👋), I’m an Online Business Manager and systems strategist who works primarily with coaches, therapists, and creatives. I help bring structure to their brilliance by organizing their offers, optimizing their operations, and building the systems that support sustainable growth.
Ok back on topic… Here’s the list (Aka how I’m using AI in my work):
1. Jumpstarting creativity
Sometimes, staring at a blank page just… doesn’t work. Whether it's naming a new offer, writing a first draft of a sales page, or planning content pillars, AI gives us a place to start.
But here’s where I’m seeing the best results: it’s usually two or three steps past what ChatGPT suggests. I’m not using what Chat suggests as the not the final say, it’s the spark.
2. Turning meeting notes into content gold
I love using AI to summarize Zoom transcripts or client notes into usable snippets. Blog post ideas, social client ideas, or even some client testimonials. It's a great way to repurpose what’s already there.
Tip: Make sure your zoom settings are set to turn on meeting summary automatically when meetings start
3. Drafting SOPs, templates and workflows
When you're running multiple offers, onboarding team members, or juggling client comms, AI is a fantastic tool to help you create structure. I often use it to outline SOPs or create checklists and workflows for upcoming launches - then go through and refine them. Adding in all those nuances that AI can’t quite grasp.
4. Simplifying data storytelling
I’ve used ChatGPT to help turn google sheet exports into clear summaries, visuals and next-step recommendations. It can be a total game changer when you're trying to interpret different metrics or identify areas for improvement.
Basically here’s what I’ve realized when it comes to AI - it’s not here to replace your voice, your intuition, or your creative spark.
But it is a powerful tool that can help your business run more smoothly and help you think more clearly. And save everyone a whole lot of time!
So whether you're curious or cautious, my invitation to you is this: start experimenting. Use it to make your work easier, not to make yourself irrelevant.
