Let’s use AI to plan your launch in an hour

If you’re anything like me… you have some big goals for this year. Both personally (this is the year I’m renovating the living room!) and within my business (finding more balance).

Maybe your big goal is growth. Or more revenue. Or finally feeling organized behind the scenes. Or simply wanting your business to feel lighter to show up for. Maybe it’s all of the above!

If launching, or re-launching, a program, offer or digital product is part of what you’re hoping to do this year the rest of this email is really for you.

Because I know that a launch is not the only thing on your list to do. You’re also running a business, supporting clients, managing life, and trying to protect your energy along the way.

So what if we made launching feel easier… calmer?

This is exactly where I’ve been using AI lately. To help make work, specifically launches, easier. Not to make me sound like everyone else who uses AI.  When I sit down to plan a launch (mine or my clients), I give myself one focused hour with a simple goal: Get clear on the strategy and plan for this launch.

Here’s exactly what that hour looks like.

Step 1: I open up a good doc and write out every I know about my offer and how I want to launch

The google doc is key here, not a pen and paper. We’re getting organized digitally because we want to use digital tools (AI). And google doc is also much more easily shared with your team.

Here are the topics and questions I’m answering:

  • What is my offer? What is the transformation it’s proving for my clients?

  • What are my sales goals for this launch? Does this match my current capacity?

  • Does my offer still need a sales page, checkout page and enrollment process?

  • When do I have the capacity to be in launch mode for this offer? How long do I want this launch to be?

  • What is my lead generation plan for this offer?

Step 2: Get My Launch Numbers

Enter in AI… specifically ChatGPT or Claude. I want to make sure I get an understanding of how many leads I need to have in order to hit my sales goals. (And make sure that that’s actually reasonable for me).

The ChatGPT prompts I use:

  • “I am planning to launch [offer details] in [insert ideal timeline]. If my goal is [X revenue / X clients], how many leads would I typically need on the front end based on industry conversion standards?”

  • “I have planned to do a [insert lead generation] for my upcoming launch/ What would be a reasonable conversion range for an [opt-in / webinar / masterclass / podcast] launch like this?”

  • “What visibility numbers should I focus on so I’m not reacting emotionally during the launch?”

Honestly, sometimes these numbers are a little scary 🤣 A few reminders:

  • These are just industry standards - you’re businesses conversion percentages may be a bit different

  • You can change your goal numbers! Nothing is set in stone.

  • It’s ok to feel stretchy and a little scared AND still have a really successful launch ❤️

(side note: I have the a whole section about launch conversions in my Calm Launch Planner)

Step 3: Get my timeline mapped out

Here is where I’m finally taking that brain dump I did in step 1 and getting some structure around it!

For every launch, I break down my timeline into 4 phases because it’s WAYY less overwhelming for me. And if I know anything, it’s that I don’t need MORE overwhelm in my life 🤣The 4 phases I use are:

  • Organize

  • Optimize

  • Execute

  • Evaluate

I’m back into ChatGPT or Claude and asking:

“Here are the details for my upcoming launch for [insert offer], my ideal timeline to launch is [X] and these are my goals and lead generation plan…
I want to structure my launch using these four phases:

Organize: Map strategy, milestones, systems, and tracking so the foundation feels calm and clear.
Optimize: Streamline tools, content, workflows, and tech so everything runs smoothly.
Execute: Launch and track progress without micromanaging.
Evaluate: Debrief, refine, and set up the next launch to be even easier.

Based on my goal, capacity, lead targets, and priorities, can you create a realistic timeline and list of tasks for this launch and organize them into these four phases?”

Step 4: Get this timeline into Notion ASAP

Or any task management system. Basically I need a place where I can delegate tasks, see what I’m responsible for delivering and see the full picture not in an AI generated table.

Pro Tip: Once you review the timeline, this is the perfect task to delegate to a team member.

And if this is a step where you typically fall off, I’ve got you. I created the Calm Launch Planner, a notion template, that already has these launch phases built for you including all of the tasks you need to complete. All you need to do is add in your launch details and assign due dates and viola - your launch is planned!

And if you’re still very much in the overwhelm phase of your launch, even after reading this, I encourage you to start with my free Calm Launch Checklist. It literally gives you the tasks that you need to complete at every stage of your launch and the timeline you * should * follow.
